How it works

Five steps at the counter

From the moment a customer walks in to the moment the application is lodged, KAARYU keeps the work in order. Your centre still lodges every application, as you do today.

  1. Step 1

    Start the service.

Pick the service and see exactly what it needs before anything is collected.

The operator enters the customer's mobile number and chooses the service. Nothing about the customer is looked up before they share the one-time code.

KAARYU operator console in the sandbox for DEMO Centre A. The Start panel asks for the customer mobile number and a service, with a sandbox notice to use demo test customers only, a service search box and the first services in the list, Birth Certificate and Family Member Certificate, each marked Draft.

  2. Step 2

    Customer consent.

The customer confirms with a one-time code sent to their mobile. Only what this application needs is asked.

KAARYU shows what the service needs: the details it will ask and the documents to bring. You can print the list for the customer.

The What we need from you list for an Income Certificate, with a Print this list button and a Draft banner saying the requirements are not yet verified at a centre. One column lists the details KAARYU will ask, such as applicant name, relation, gender, date of birth and address. The other lists the documents to bring: the application form, proof of address, proof of identity and a passport-size photograph.

  3. Step 3

    Details and documents.

Enter each detail once. Upload or photograph documents. Records saved at your centre can be reused with the customer's consent.

Each value can be marked as confirmed by the customer, and the operator ticks "I saw the original" for each document.

In pilot Local text reading (OCR) can read document images in English, Telugu, Kannada and Hindi scripts and suggest values to fill in. A voter ID, PAN card and some other documents can be read this way to save typing. Every value is confirmed by a person before it is used.

The Details step with 7 values left. Each field, such as relation, the related person's name Suresh Kumar DEMO, gender and date of birth, has a Customer confirmed this value checkbox, and a Save 7 button saves them all.

The Documents step. A demo ration card is uploaded as proof of address and a demo voter ID (EPIC) as proof of identity, each with the I saw the original box ticked, and an Upload 3 button.

  4. Step 4

    Check and review.

KAARYU lists anything missing or out of date. You go through the application with the customer before printing.

The step bar shows what is done, and the Review page shows every detail with whether the customer confirmed it or the operator entered it.

A demo Income Certificate application marked Ready to print, 12 of 15 items complete, with a Print button. The step bar shows Details, Documents and Check done, Review as the current step, then Print, Lodge with 3 left, and Track later.

The Review step, with the note Go through this with the customer before printing. It lists the details of Ravi Kumar DEMO, such as address, mobile number, annual family income and date of birth, each labelled customer confirmed or entered by operator.

  5. Step 5

    Print, lodge and record.

Print the packet, lodge it at the office or portal as you do today, then record the receipt and follow-ups in KAARYU.

Tasks done by hand at the counter, such as the self-declaration and signatures, are recorded before the application is lodged.

The Print step. The step bar shows Details to Review done. The official form is chosen from a list, here the English default form, with notes that this is a data sheet whose values are copied onto a blank official form filled by hand.

The Lodge step with counter tasks marked action required: have the applicant sign the self-declaration, and obtain the applicant's and parent's signatures, each with a button to record it, and the customer's visit at the counter since 4:41 pm.

See what is waiting at your centre

The Today board shows what needs attention now: active customers and transactions, applications with missing documents, those ready to print and those pending review. Each item leads to the next thing to do, on the step where it is done.

Screenshots are from the KAARYU sandbox with demo data. Features still in pilot are marked "In pilot".

KAARYU never marks a document as verified on its own and never submits to a government system. People decide.

We are inviting a small number of service centres to try KAARYU during the pilot.
